How To Set Up Lead Intake Rental Beast Pro

The purpose of this article is to guide real estate professionals on how to set up an automated email to be sent out whenever they accept a lead. You can also set up notifications to remind themselves to reach out to a lead after a selected amount of time.

What Is The Purpose?

The purpose of this article is to guide Rental Beast Pro users on how to enable and customize an automated welcome email response for newly accepted leads. 

This email will be the first contact with your client and can be customized to introduce yourself and give the best overview of what they can expect from you and the service that you provide.

Step 1: Configure Lead Intake

  1. Go to “Settings” in your Rental Beast Portal. 
  2. Click the “Lead Management” located under the tab.
  3. Under this tab you will locate “Lead Intake Configuration” at the top and click. 
  4. To enable the feature, you will click the button that reads “Off” so that it changes to “On”. 

Note: Once Lead Intake is enabled, a generic email is already ready for your clients to receive for any newly accepted leads afterward. 

Step 2: Enable Time Options

Note: You have the ability to set a specific amount of time that your email is sent after the lead is accepted. The minimum is 1 minute. You can also enable a timed reminder text message to yourself, that will prompt a follow up to your new lead. To enable both of these options, click the boxes next to each section. 

Step 3: Customize Welcome Email

  1. Click on “Advanced Settings” to reveal your welcome email content. 
  2. To customize the email you will click “Set Custom Content” on the right side of the page. 
  3. You will now have the ability to edit the contents of the email. 
  4. To insert dynamic tags into your email, you can click into the “Dynamic Tag” box and select the tags to place within your email. The information inside of these tags will be auto-filled with information pulled from your Rental Beast portal. 

Note: If you would like to receive a count of similar listings when you accept a lead, click on the checkbox next to “Send me a count of similar listings when I accept a lead”.  This will display a menu where you can define what you would consider a “similar listing”. 

  1. Once you have completed your email settings, click “Save Changes” at the bottom of the page.
